Clinic Office Manager

RESPONSIBILITIES

  • Under the supervision of the Practice Administrator, the Office Manager is responsible for day-to-day operations of the clinic at their assigned location.
  • Ensure clinic location is opened and closed daily, as per established schedules.
  • Obtains, opens, and distributes mail appropriately.
  • Reconciles money bags from each location throughout the week.
  • Manages petty cash and reports balances weekly to accounting.
  • Manages and schedules the front office personnel at assigned clinic location.
  • Regularly review productivity and make staffing adjustments as needed.
  • Hire and train new office staff, set up employee schedules, assists the Practice Administrator with employee performance evaluations.
  • Exhibits exceptional professionalism and customer service for patients and actively works with employees to increase these qualities.
  • Monitor and approve employee timesheets and PTO requests.
  • Coordinate with other clinical locations for staffing coverage when needed.
  • Act as backup for front desk or medical assistant positions at the assigned location when needed.
  • Orders and inventories office and clinical supplies.
  • Regularly review office policies and procedures to ensure that the clinic location is compliant with federal and state laws and regulations.
  • Ensure patient privacy is being maintained according to HIPAA laws and that the clinic location meets OSHA, ADA, and other standards.
  • Recommend, develop, and implement improvements for the clinic location under the supervision of the Practice Administrator.
  • Assists with crisis management in all areas of the practice.
  • Oversee the Technical Specialist at the assigned location and work closely with the Ancillary Clinic Manager to coordinate their job duties onsite.
  • Additional administrative duties as assigned by the Practice Administrator.

REQUIREMENTS

  • 4+ years’ experience working in a medical setting
  • 2+ years’ experience in supervisory role preferred
  • Working knowledge of medical terminology
  • Proficiency with EMR systems and software applications
  • Proficient in Microsoft Office Suite applications
  • Excellent written and oral communication skills
  • Strong understanding of laws and standards of HIPAA, ADA, OSHA and other regulations
  • Medical office billing experience is a plus
  • Exceptional customer service skills mandatory

Medical Assistant

RESPONSIBILITIES

  • Obtain and record patient medical histories, vitals, test results and other information for medical records while maintaining strict confidentiality.
  • Verify patient information by interviewing patient and confirming purpose of visit.
  • Prepare notes for providers.
  • Complete records by recording patient examination, treatment and test results in the EMR.
  • Prepare treatment rooms and ensure supplies are ready, order more when necessary.
  • Assist practitioners with medical procedures, examinations and other patient care.
  • Counsel patients by transmitting physician’s orders and questions about procedures
  • Educate patients by providing medication and diet information and instructions; answer questions.
  • Coordinating the daily administrative activities, including scheduling, and patient medical record maintenance.
  • Updating and scanning patients’ medical records, filling out insurance forms, handling correspondence, scheduling appointments as necessary for medication refills.
  • Responsible for sending patient recommendations and referrals to appropriate departments on a daily basis.
  • Ensuring all duties of clinical and pre-op are addressed in a timely manner.
  • Responsible for timely communication with patients.
  • Maintain communication with Nursing Supervisor regarding inventory orders.
  • Maintain communication with management prior to requesting provider scheduling changes.
  • Responsible for the weekly submission of medication logs for in-office procedures for each provider.
  • Ensuring compliance with all health care regulations, including HIPAA and OSHA.

REQUIREMENTS

  • Minimum of 3 years of experience in a medical assistant role
  • Medical Assistant certification preferred.
  • Have high school diploma, or equivalent.
  • A basic understanding of patient care, medical terminology, coding procedures, reference tools, and appropriate clinical pharmacology for medical assistant practice scope.
  • Strong interpersonal, organizational, and customer service skills.
  • Excellent written and oral communication skills.
  • Familiarity with electronic medical health care record systems.

Medical Collector

RESPONSIBILITIES

  • Reviews patient bills for accuracy and completeness; obtains missing information.
  • Knowledge of commercial insurance, Medicare, and Medicaid rules and guidelines
  • Utilize a combination of electronic health record (EHR) and paper patient records to duties; maintain an accurate, legally compliant medical record.
  • Process claims as they are paid and credit accounts accordingly
  • Review insurance payments for accuracy and compliance with contract discounts
  • Review denials or partially paid claims and work with the involved parties to resolve the discrepancy.
  • Manage assigned accounts ensuring outstanding/pending claims are paid in a timely manner and contact appropriate parties to collect payment.
  • Communicate with health care providers, patients, insurance claim representatives and other parties to clarify billing issues and facilitate timely payment.
  • Consult supervisor, team members and appropriate resources to solve billing and collection questions and issues.
  • Maintain work operations and quality by following standards, policies and procedures; escalate compliance issues to supervisor.
  • Prepare reports and forms as directed and in accordance with established policies.
  • Provide excellent and professional customer service to internal and external customers.
  • Function as contributing team member while meeting deadlines and productivity standards.

REQUIREMENTS

  • High school diploma or equivalent.
  • One year of current experience within the last three years in a comparable job
  • Internet, email, MS Office and data entry skills required.
  • Educated on and compliant with HIPAA regulations; maintains strict confidentiality of patient and client information
  • Ability to work effectively within role independently and with other team members.
  • Ability to organize and complete work in a timely manner.
  • Ability to understand medical/surgical terminology

Pharmacy Technician (PRN)

RESPONSIBILITIES

  • Open and close pharmacy when necessary.
  • Compound preparations according to quality standards, productivity guidelines and State Board of Pharmacy regulations.
  • Ability to correctly calculate medication ingredients for compounding prescriptions.
  • Appropriately and efficiently make capsules with the use of capsule pro filler.
  • Appropriately and efficiently make creams with the use of Unguator.
  • Maintain inventory and update in system on a regular basis or as requested per the Pharmacist.
  • Inspect shelves for expires, and proper return of medications.
  • Check in orders, process invoices, credits and back orders.
  • Restock medications.
  • Maintain compound formula sheets and log sheets when dispensing compounds for each patient.
  • Monitor and log medication refrigerator temperature daily.
  • Place order requests for necessary supplies for pharmacy.
  • Place order requests for medications daily.
  • Maintain continuous and consistent workflow.
  • Use pharmacy software to fulfill medication requests and verify correct NDC’s.
  • Dispense and ship prescriptions according to quality standards, productivity guidelines and state board regulations.
  • Price medications correctly.
  • Greet and fill walk-in patients’ medication and properly do substitution per each prescriber’s approval.
  • Maintain certification and registration as required by the State Board.
  • Maintain training within the pharmacy as required by the Pharmacist.
  • Work with other pharmacy team members to ensure a positive work environment, patient experience and outcome.
  • Maintain clean and orderly work areas of the pharmacy, waiting area and compounding area.
  • Other job-related duties as assigned by the Pharmacist.

REQUIREMENTS

  • Pharmacy Technician Certification – PTCB
  • Texas State Board of Pharmacy Registration – RPhT
  • No previous State Board of Pharmacy Disciplinary actions
  • Pharmacy Technician Training Program – preferred
  • Compounding experience including capsules and creams
  • Minimum 1-year experience in high volume fast paced pharmacy is preferred

Sales Leader - Austin Territory

RESPONSIBILITIES
